Surprise birthday party invitation: keep the secret and get everyone there

A surprise party invitation has two jobs: give the guests the time and place without spoiling the day, and keep replies away from the person whose birthday it is. The page is opened by one link, so you decide who gets it, and every RSVP lands in your email and guest list rather than in a group chat.

Sample surprise birthday party invitation pages

What to put on a surprise birthday party invitation

  • The time guests should arrive, shown before the party start, and a clear line that they should be there before the guest of honour
  • The place, with a map link and a note on where to wait if the venue has a back entrance
  • A cover story for the guest of honour, such as dinner with friends, written in the notes
  • What to bring or not bring, for example no gifts on the day if you are collecting them in advance
  • A reply deadline set a few days before the party so you have time to plan food and numbers
  • A line asking guests to keep the page to themselves and not to post the link
  • An add-to-calendar file so the date and time go straight into their calendar

The page has an RSVP form: guests say yes or no, how many are coming, and anything you ask (allergies, email, phone). You get an email for each reply and a guest list with a CSV export.

When to send it

  1. Four weeks before: Decide the cover story and the arrival time, then build the page in chat and check the details
  2. Two weeks before: Send the link privately to each guest by message or email, not to a shared group the guest of honour is in
  3. Ten days before: Check the RSVP replies in your email and the guest list, and follow up with anyone who has not answered
  4. Day before: Send a short private reminder with the arrival time and the place to wait, and ask a helper to hold the door
  5. After the party: Thank guests and keep the page up or close it, so later links do not show old details

Wording you can use

  • โ€œPlease arrive by 7:00 pm, before Anna gets here, as this is a surprise.โ€ Use it
  • โ€œDinner is for Anna's birthday, so please keep the page to yourself and do not post the link.โ€ Use it
  • โ€œWe will wait in the upstairs room, so come straight up the back stairs when you arrive.โ€ Use it
  • โ€œAnna thinks we are having a quiet meal, so please don't mention the party to her beforehand.โ€ Use it
  • โ€œPlease reply by Friday so we can get the right amount of food and drinks for everyone.โ€ Use it
  • โ€œThere is no need to bring a gift on the night, but if you want to contribute, let me know in your reply.โ€ Use it
  • โ€œIf you cannot make it, a quick no is still very helpful so we can plan the numbers.โ€ Use it
  • โ€œDaniel is turning forty and we want the evening to be a surprise, so please keep the time and place quiet.โ€ Use it

Questions

How do I stop the guest of honour from seeing the invitation?
Send the link only to guests, in private messages or emails, and do not post it in group chats or on social media that the birthday person can see. Anyone who has the link can open the page, so share it with the people you trust.
Where do the RSVP replies go?
Each reply comes to your email, and the guest list shows the totals for yes, no and the number of guests. The guest of honour does not receive these replies, so they will not see who is coming unless you tell them.
Can I tell guests to arrive early on the invitation?
Yes. Put the arrival time in the details and in a note, for example 7:00 pm for a 7:30 pm surprise, so guests are already in place before the birthday person arrives. You can edit the page in chat if the time changes.
What if someone replies with a question I need to answer privately?
Each RSVP can include a note and up to six extra questions. Read the replies in your email and answer the guest directly, rather than changing the public page, so the details you share do not reveal the surprise.
Can guests give gifts through the page?
No. The page has no payment or ticketing, so gift collection is something you arrange yourself. You can say in the notes whether guests should bring a gift on the night or send one to you before the party.
