Retirement party invitation for a colleague, with a leaving collection and speeches

A retirement party for a colleague usually goes wrong in the small things: the person finds out early, the speeches run long, or the collection gets lost between desks. This page gives the whole team one place to find the time, the room, the running order and how to chip in, and you choose who gets the link. You can describe the send-off in chat and adjust the page by hand afterwards.

Sample retirement party invitation pages

What to put on a retirement party invitation

  • The date, start time and room, with a map link if the venue is off site
  • A short running order: welcome, speeches, presentation, cake, and when people can leave
  • Who is retiring, their role and how many years they worked there, in one honest line
  • A leaving collection note: the amount you are asking for, who holds the envelope or how to pay outside the page
  • Dress notes and where to park or how to get there if the team is spread across sites
  • An RSVP with yes or no, the number of guests, a note, and up to six questions such as 'Would you like to give a speech?'
  • Your name as host, so replies come to you and the guest list totals are yours to check

The page has an RSVP form: guests say yes or no, how many are coming, and anything you ask (allergies, email, phone). You get an email for each reply and a guest list with a CSV export.

When to send it

  1. Four weeks before: Book the room, agree the date with the retiree's manager, and send the link only to people you trust to keep it quiet
  2. Three weeks before: Ask in the RSVP for anyone who wants to speak, and set a rough time limit for each speech
  3. Two weeks before: Check the guest list totals against the room size and tell the caterer or venue the number
  4. One week before: Collect the leaving money outside the page, and note who has paid so nobody is chased twice
  5. Day before: Print the running order for the speakers and confirm the cake and presentation time

Wording you can use

  • โ€œJoin us on Thursday 14 March at 5 pm in the Lakeside room to say thank you to Anna for twenty-two years with the firm.โ€ Use it
  • โ€œPlease come and help us send Daniel off with a few good speeches, a slice of cake and a card he will keep.โ€ Use it
  • โ€œWe are collecting for a leaving present for Anna. Give what feels right; the envelope will be with Maria at reception until Friday.โ€ Use it
  • โ€œKeep this quiet until the day: Daniel does not know yet, so please do not forward this link outside the team.โ€ Use it
  • โ€œIf you would like to say a few words about Daniel, tick the speaking box in your reply and we will put you on the running order.โ€ Use it
  • โ€œThe party starts at 4 pm and we will finish around 6 pm; you are welcome to stay as long as you like after the speeches.โ€ Use it
  • โ€œTell us if you cannot come but would still like to contribute to the collection, and we will make sure it reaches Anna.โ€ Use it
  • โ€œThank you for everything you have done for the team, Daniel. Please come and see us off.โ€ Use it

Questions

How do I keep a retirement party a surprise?
The page is open to anyone who has the link, so share it only with the people you trust, and do not post it in a team channel the retiree can read. Use a private message or a direct email to each guest, and remind them not to forward it.
Can guests pay the collection through the page?
No. The page does not take payments. Say in the invitation how to give, such as an envelope with a named person or a bank transfer to you, and track what has come in yourself.
How do I organise speeches?
Add a question to the RSVP asking who would like to speak. The replies appear in the guest list, so you can build the running order from there and send each speaker their slot and time limit.
Can I change the page after I send it?
Yes. You can edit the time, room, running order or notes by hand or by asking for changes in the chat. Guests open the same link, so tell them if anything important has changed.
What do I get when people reply?
You get an email for each reply, a guest list with totals for yes, no and guest numbers, and a CSV you can use for the room, the catering and the team list.
