Graduation party invitation: ceremony, party and parking in one link

A graduation day often has two events, the ceremony at the school and the party afterwards, and guests need both times and places on one page. Put the ceremony, the party, the parking and the photo spot in order, so nobody has to ask which car park to use. Guests open the link on their phone, answer yes or no, and you get an email for each reply.

Sample graduation party invitation pages

What to put on a graduation party invitation

  • The ceremony time, venue and the entrance guests should use
  • The party date, start time and address, with a map link
  • Parking: which car park is free, which street is limited, and how long it takes to walk
  • A note on the photo spot, such as the garden wall or the front steps, and whether guests can take pictures there
  • A line asking guests to sign the memory book on the table at the party
  • Dress code, if the party is outdoors or the ceremony needs formal clothes
  • An RSVP form with yes or no, number of guests and up to six questions, such as dietary needs or a lift from the station

The page has an RSVP form: guests say yes or no, how many are coming, and anything you ask (allergies, email, phone). You get an email for each reply and a guest list with a CSV export.

When to send it

  1. Three to four weeks before: Send the page link, with ceremony and party times, so guests can plan travel and parking
  2. Two weeks before: Check the map link and parking notes again, and ask a friend to test them on a phone
  3. One week before: Look at the guest list and total, and follow up with anyone who has not replied
  4. Day before: Edit the page by chat or by hand if the ceremony time or the party location has changed

  • โ€œPlease sign the memory book on the table by the front door, and take photos at the garden wall.โ€ Use it
  • โ€œDress is smart casual; the garden will be in the sun, so bring a hat if you like.โ€ Use it
  • โ€œPlease tell us by 20 May whether you can come, and how many people will be with you.โ€ Use it
  • โ€œIf you need a lift from the station, mention it in the note and we will arrange one.โ€ Use it

Questions

Can I put both the ceremony and the party on one invitation page?
Yes. Give the ceremony time and venue first, then the party date, address and map link, so guests can see the order of the day.
How do I add parking information for guests?
Write it in the notes section of the page, for example which car park is free, which street is limited, and how long the walk is from the station. You can change it at any time by chat or by hand.
Can guests reply without making an account?
Yes. Guests open one link, fill in the RSVP form and send it. They do not need an account, and you get an email for each reply.
Can I mention a photo spot or a memory book?
Yes, in the notes or the programme. Say where the photo spot is and ask guests to sign the memory book at the party. The memory book is a paper book you keep at the event; the page only tells guests where to find it.
What do I get after guests reply?
You get an email for each reply, a guest list with totals for yes, no and number of people, and a CSV file you can open in a spreadsheet.
